The following terms are used throughout these Terms of business and are defined as follows:
“Tutor” refers to Oxana Kolosova, the provider of Medical English and related online coaching services under Medical English with OK.
“Student” refers to any individual who purchases and/or participates in the tutor’s one‑to‑one or group sessions offered.
“Session” refers to any scheduled online meeting, whether one‑to‑one or group, delivered via Zoom or another agreed platform.
“Package” refers to a block of prepaid sessions purchased in advance.
By making payment for a session or package, the student acknowledges that they have read, understood and agreed to these Terms of business.
These Terms of business apply to all online coaching services provided by Medical English with Oxana Kolosova, including but not limited to:
short, intensive training programmes such as crash courses and workshops designed to address specific goals
individual one‑to‑one coaching with personalised feedback and guidance where appropriate
group practice sessions in thematic areas (e.g., speaking clubs) delivered according to a set syllabus or shared learning objectives
specialised coaching in areas such as OET preparation, Academic Medical English and Business English for medicine
diagnostic sessions (e.g., writing or speaking) providing targeted feedback on performance.
A complimentary 30‑minute pre‑teaching assessment may be offered to new students to identify learning needs and goals.
All sessions must be booked in advance. The tutor will provide the Zoom link (or agreed platform link) prior to each session.
For individual sessions, the time is agreed between the student and tutor and confirmed in writing (via email or the agreed messaging platform).
For group sessions, booking a place is required in advance and confirmation will be provided in writing. Places are offered on a first‑come, first‑served basis.
Group sessions follow a fixed timetable and syllabus; they cannot be individually rescheduled.
The free 30‑minute assessment is subject to availability and must also be scheduled in advance.
Payment is required in full prior to the commencement of any session or package. The pre‑teaching assessment is provided once, free of charge, and does not form part of a paid package.
Accepted payment methods: bank transfer or other agreed online payment systems.
Package fees are payable upfront and must be used within six (6) months of purchase.
To cancel or reschedule an individual one‑to‑one session, students must provide at least 24 hours’ written notice (by email or the agreed messaging platform). Sessions cancelled with less than 24 hours’ notice will be charged in full.
Group sessions follow a fixed schedule; they cannot be rescheduled or refunded if missed.
If the tutor cancels a session, the student will be offered a rescheduled session without charge.
Students are expected to join sessions promptly at the agreed time.
For individual sessions, the tutor will wait up to 15 minutes for late arrivals. If the student does not attend within this period, the session will be deemed cancelled and charged in full.
Sessions will not be extended to compensate for late arrivals.
For group sessions, the tutor will begin at the scheduled time, regardless of late arrivals. Students who join late will not receive additional time or a refund, and the session will continue as planned.
Refunds are not available for completed sessions.
For individual one‑to‑one sessions, refunds are not issued for missed or late‑cancelled appointments.
Package refunds are only considered in exceptional circumstances and remain at the Tutor’s discretion. Any sessions already used within a package will be deducted from the refund calculation.
For group sessions, refunds are not available if a student misses part or all of the scheduled programme, as these follow a fixed timetable and syllabus.
Students are expected to:
attend sessions on time and prepared
complete any assigned homework or practice tasks before the next session
communicate respectfully and professionally with the tutor and other participants at all times.
Students engaging in Academic or Business English individual coaching are responsible for providing relevant materials (e.g., drafts, reports, slides) in advance when requested.
For group sessions (e.g., speaking clubs), students are expected to contribute constructively and respect other participants.
Students are responsible for ensuring they have access to Zoom (or another agreed platform) and a stable internet connection for all sessions.
The tutor will:
provide professional and high‑quality coaching in Medical English and related areas
deliver sessions in line with the agreed syllabus, course structure or learning objectives
offer constructive feedback and guidance to support student progress
maintain a supportive and inclusive environment in all group sessions.
Personal information shared for tutoring purposes will be kept confidential.
Session recordings or notes will not be shared without the student’s consent.
Data will be handled in accordance with applicable privacy regulations and the tutor’s Privacy policy. Students are encouraged to review the full Privacy policy available on the website.
Coaching is intended to support professional development and exam preparation; however, no specific outcomes (e.g., exam scores, publication acceptance) are guaranteed.
The tutor is not liable for technical issues on the student’s side (e.g., internet failure, device malfunction).
By making payment for a session or package, the student acknowledges that they have read, understood and agreed to these Terms of business.
